Job Description

Construction Technology Administrative Assistant

The Construction Technology Administrative Assistant will support the department by managing schedules, organizing files, coordinating meetings, tracking technology resources, and assisting with day-to-day operations to ensure smooth and efficient workflows.

The role involves preparing reports, maintaining files, and supporting project tracking to keep technology initiatives on schedule. Additionally, this role will organize training sessions, create documentation, and provide general administrative support to ensure the efficient operation of the Construction Technology department.

General Administrative Support

  • Assist with scheduling meetings, coordinating calendars, and managing appointments for the department.
  • Prepare meeting agendas, take minutes, and follow up on action items.
  • Organize and maintain departmental files, documents, and reports.

Technology and Software Support

  • Help manage software licenses, renewals, and subscriptions.
  • Track user accounts and assist with onboarding/offboarding processes for new employees.
  • Coordinate with IT to troubleshoot software issues and support technology rollouts.

Project Coordination

  • Monitor and report on technology-related project timelines and deliverables.
  • Maintain and update project tracking logs and status reports.
  • Assist with coordinating technology needs between field teams and office personnel.

Vendor and Procurement Assistance

  • Coordinate communication with software and equipment vendors.
  • Assist with processing purchase orders and tracking technology-related expenses.
  • Manage equipment inventory and oversee check-ins/outs for technology tools.

Training and Documentation Support

  • Help organize and schedule training sessions for software tools and technology.
  • Prepare training materials, guides, and user documentation.
  • Track training attendance and maintain a library of educational resources.

Data Entry and Reporting

  • Enter and maintain data in relevant systems (e.g., asset management, software logs).
  • Generate reports on technology usage, adoption metrics, and performance.
  • Assist in gathering and compiling feedback from internal users and project teams.

Event Coordination

  • Help organize department events, workshops, and team-building activities.
  • Coordinate participation in industry conferences and technology expos.

Communication and Team Support

  • Act as a point of contact for internal and external inquiries related to construction technology.
  • Support interdepartmental communication by distributing announcements and updates.
  • Facilitate smooth communication between field and office personnel.

Competencies

  • Proficient with MS Office suite.
  • Knowledge of Adobe Pro or Bluebeam.
  • Excellent verbal and written communication skills.
  • Excellent organizational skills and attention to detail.
  • A "Can do" attitude; willing to help others.

Work Environment: Typical office hours, M-F: 8AM-5PM. Hours may vary depending on demand. 80% Sitting, 20% Standing or Walking.

Physical Demands: Frequent sitting while working on computers or attending meetings. Ability to operate standard office equipment such as computers, phones, and printers. Extensive use of computer screens requiring close vision and the ability to adjust focus. Frequent use of keyboard, mouse, and other computer components. Ability to concentrate on detailed tasks for extended periods.

Travel Required: Willingness and ability to travel to different construction sites, if needed. Valid US driver's license required.

Education and Experience: Bachelor's degree or equivalent experience preferred. 3+ years of experience as an office assistant, office manager, or similar role. Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook), Google Workspace, Adobe, and scheduling tools. Procore and knowledge of construction field is a plus.
