About the Role

We're seeking a highly organized, resourceful, and proactive Personal Assistant to support a high functioning executive — a dynamic investor, entrepreneur, mother of two, and partner at investment firm. This role spans across personal, professional, and family-related responsibilities, requiring someone who can seamlessly manage complex logistics, family schedules, high-profile communication, and confidential projects.

This is a high-trust role ideal for someone who thrives in a fast-paced, detail-rich environment, and enjoys creating structure, managing timelines, and being one step ahead.

Key Responsibilities

Calendar & Travel Management

  • Manage and optimize complex calendars, including investor meetings, family schedules, school commitments, and events.
  • Book and coordinate international and domestic travel for the family (often multi-city, multi-country), ensuring seamless transitions.
  • Track and manage itineraries (e.g., flights, trips, school vacations, board meetings, etc.).

Household & Family Support

  • Liaise with nannies, drivers, property managers, and vendors across NYC and Hamptons homes.
  • Support with school logistics for two children (school schedule, extracurriculars, application coordination, etc.).
  • Handle event planning for birthdays, holidays, and family gatherings (e.g., Christmas, summer hosting in Hamptons).

Professional & Administrative Tasks

  • Support with scheduling and follow-ups for executive's roles as an investor, advisor, and board member.
  • Organize documents, maintain investor/partner databases, and prep materials for meetings.
  • Coordinate meetings, track action items, and manage communications.
  • Research and prepare briefs (e.g., for potential partnerships, travel planning, product launches).

Personal Projects & Special Initiatives

  • Help manage wishlists, health/wellness programs, and luxury gifting.
  • Coordinate with stylists, medical providers, and fitness/yoga appointments.
  • Support with social media or brand initiatives as needed.

Required Skills & Qualifications

  • 3–7 years of experience supporting senior executives, founders, or HNW individuals.
  • Proven experience juggling family and professional logistics.
  • Exceptional attention to detail, memory, and time management.
  • Discretion, integrity, and emotional intelligence.
  • Tech-savvy (Google Suite, WhatsApp, Excel, Notion, calendar tools, etc.).
  • Strong written and verbal communication skills.
  • Bonus: Familiarity with venture capital or startup environments.

Work Environment & Expectations

  • Must be NYC-based with ability to travel to the Hamptons in the summer.
  • Hybrid schedule with flexibility for evening or weekend communication.
  • Should be intuitive, proactive, and confident managing high-stakes or sensitive matters.
